Paper Submission Guidelines

Authors are invited to submit their original research papers, academic studies, applied research, and interdisciplinary studies related to the conference topics and scope. Please carefully review the following guidelines before submitting your paper.

All author information must be accurate because it may be used for the acceptance letter, conference program, certificates, proceedings, and other official conference materials.


1. Submission of the Full Paper

Authors are required to submit the complete version of their paper in both of the following formats:

  • Microsoft Word (.doc / .docx)
  • PDF (.pdf)

The Word file may be used for editorial and formatting purposes, while the PDF file should represent the final version of the submitted paper.

Important: The submitted file must contain the complete paper. Submission of an abstract only is not considered a full paper submission unless specifically stated in the conference announcement.


2. Number of Authors

Each submitted paper may have a maximum of 6 authors.

The names and details of all authors must be provided correctly at the time of submission.

After submission, any change to the author list, including adding, removing, or changing the order of authors, may require confirmation from the authors and approval by the conference organizers.


3. Correct English Spelling of Authors' Names

Authors must provide their full names in English using the correct spelling.

Please carefully check the spelling of each author's name before submitting the paper. The submitted information may be used in the acceptance certificate, conference program, proceedings, presentation schedule, and other official documents.

Example:

Dr. Lukas Schneider

Anna Müller

Prof. Dr. Thomas Weber

Authors should use the same spelling of their names throughout the paper, registration form, and other conference documents.


4. Institutional Affiliation

The institutional affiliation of each author must be clearly provided.

The affiliation may include:

  • University or institution
  • Faculty or department
  • Academic position or field of study, where applicable
  • City
  • Country

Example:

Dr. Lukas Schneider¹
¹ Department of Mechanical Engineering, Heidelberg University, Heidelberg, Germany

Anna Müller²
² Institute of Computer Science, Karlsruhe Institute of Technology (KIT), Karlsruhe, Germany

Prof. Dr. Thomas Weber³
³ Faculty of Engineering, Technical University of Munich, Munich, Germany

Authors without an academic affiliation may provide the name of their company, research institute, professional organization, or other relevant affiliation.


5. Email Address

A valid email address must be provided for the authors.

At minimum, the Corresponding Author's email address must be included.

Example:

Corresponding Author:
Dr. Lukas Schneider
Email: lukas.schneider@example.com

The corresponding author's email may be used for communication regarding paper acceptance, revisions, registration, presentation, and other conference procedures.


Structure of the Main Paper File

The first page of the main paper file must include the following information:

Paper Title

The title should be clear, concise, and directly related to the content of the research.

Author Names

The full names of all authors must be written correctly in English.

Institutional Affiliations

The institutional affiliation of each author must be clearly identified.

Email Addresses

Valid email addresses should be provided, particularly the email address of the Corresponding Author.

Abstract

The abstract should provide a concise overview of the research, including the research background, objectives, methodology, major findings, and conclusions.

Keywords

Relevant keywords should be provided immediately after the abstract.

Authors are encouraged to organize their papers according to the following structure:

  1. Title
  2. Authors
  3. Institutional Affiliations
  4. Email Addresses
  5. Abstract
  6. Keywords
  7. Introduction
  8. Literature Review / Theoretical Background
  9. Methodology
  10. Results / Findings
  11. Discussion
  12. Conclusion
  13. Recommendations / Implications, where applicable
  14. Acknowledgements, where applicable
  15. References

The exact structure may vary depending on the nature and methodology of the research.


References

A complete list of references must be included at the end of the paper.

All sources cited in the main text should be included in the References section, and the references should be formatted according to the citation style specified in the official paper template.

Authors should ensure that:

  • All in-text citations appear in the reference list.
  • All references listed have been cited in the paper.
  • Bibliographic information is complete and accurate.
  • DOI information is included where available.

Language of Submission

Papers may be submitted in:

  • English
  • Persian

Authors should use clear academic language and ensure that the manuscript follows the official conference formatting guidelines.

To ensure consistency and professional presentation, authors are strongly encouraged to prepare their papers using the official conference paper template.

The template provides instructions regarding:

  • Font type and size
  • Page margins
  • Line spacing
  • Paper title
  • Author information

Pre-Submission Checklist

Before submitting your paper, please make sure that:

☐ The complete paper has been prepared.
☐ Both Word and PDF files are available.
☐ The paper has no more than 6 authors.
☐ All authors' names are correctly written in English.
☐ The institutional affiliation of each author is provided.
☐ Valid email addresses are included.
☐ The paper title appears on the first page.
☐ The abstract appears on the first page.
☐ Keywords are provided on the first page.
☐ The full text of the paper is included.
☐ The References section appears at the end of the paper.
☐ The Word and PDF versions contain consistent information.
☐ The paper follows the official conference formatting template.


Final Paper Submission

After completing and reviewing the paper, authors can submit their files through the official conference paper submission system.

Before submitting, authors are encouraged to review the Conference Topics and Important Dates.

Please use the official paper template when preparing your manuscript and submit the completed paper through the designated Paper Submission page.

Incomplete submissions, papers with missing author information, or files that do not comply with the conference requirements may be returned to the authors for correction.

Important Note

Authors are responsible for ensuring the accuracy of all information provided in their manuscript and submission form. In particular, please carefully check the English spelling of author names, institutional affiliations, and email addresses before final submission, as these details may be used in official conference documents and certificates.
